Student Group & Welfare Unit

We help students form certified groups and run successful, well-organised events — with the right approvals, venues and support from the Office of the Dean of Students.

Bring students together around a shared purpose — academic, professional, religious, cultural, social or sporting — and get officially certified under the Dean of Students.

Book a venue for your event

Request an official venue and approval for your event. Submit at least 10 working days ahead with your patron’s signed approval, and we’ll issue a confirmation letter.

How Event Approval Works

Seven simple steps from idea to a confirmed, well-run event

Plan your event

Choose a date that does not clash with academic activities.

Get your patron’s approval

Your patron must approve and sign — unsigned requests are rejected.

Submit to the Dean

Send your request at least 10 working days before the event date.

Venue availability check

The unit checks the requested venue is free on your date.

Confirmation letter

An official confirmation letter / email is issued for your event.

Hold your event

Run the event — no nailing or pasting on walls or fixtures.

Submit a report

Send a post-event report within one week to studentsevents@gctu.edu.gh.
